The client

VIC TRADE is a contractor specialising in waterproofing of stylobates and underground structures. It is part of a group of companies alongside Arsenal Asia and Arsenal UG.

Equipment and tools are spread across 27 sites — 552 units on the books. Every one of them needs a weekly condition mark, with a photo and the name of whoever signed it off.

The problem

Before us, VIC TRADE ran equipment inspections through paper logs and messenger threads. Photos ended up in foremen’s personal chats with no link to a specific unit.

A summary across all sites took two to three days to assemble by hand. By the time it was ready, the data was already stale. Deadlines were chased by phone.

What we built

A step-by-step dialogue in the messenger that a worker completes from a phone. The system knows which equipment belongs to their site and walks them through it, unit by unit.

Every photo is tied to a specific unit and date. Reports close automatically, late submissions are flagged, and a manager can request any slice of the data in plain language.
